Job Title Administrative Assistant - Instructional Services
Classification Title Rank Tenure Information Job Description Reporting to the Vice President of Instruction, provides high-level administrative support, coordinates the review and approval of academic policies and curriculum updates, supports instructional operations and committees, and leads the day-to-day office functionalities and contributes to special projects as needed.
Required Qualifications - Associate Degree with coursework in business, or related discipline: OR Four (4) years increasingly responsible clerical/recordkeeping or office management work, with at least one year of responsible administrative assistant capacity supporting (a) management or executive position(s)
OR - Any combination of education and experience which would provide the required qualifications for the position.
Demonstrated sensitivity to and understanding of the diverse academic and socio-economic, cultural, disability, and ethnic backgrounds of community college students and staf
Desirable Qualifications - Community college experience is preferred
- Knowledge of Banner or a similar system
Essential Duties - Schedules meetings, prepares, and organizes agenda items and meeting packets; takes and transcribes minutes for committees such as SLOAC, COI, Curriculum, and Standards & Practices; ensures proper follow up of action items for various committees and councils
- Coordinates processing of curriculum development and revisions in accordance with Title 5 by verifying proper review steps, , ensuring incorporation of changes, submitting items to the academic senate, Board of Trustees, and the CCCCO.
- Collects compiles and summarizes data for state reports, grants, fiscal, and administrative purposes
- Calculates full and part-time faculty loads and estimates the total cost of instruction; calculates faculty overloads, class preparation time, office hours, independent study, substitutes, and prepares "Personnel Action Forms-PAF" for payroll processing
- Processes various additional PAFs to support instructional operations
- Schedules meetings for equivalencies; tracks and processes pertinent documents
- Works with the Institutional Researcher to track and communicate student learning outcome assessment for courses and programs.
- Monitors and maintains the Instruction Website; inputs critical information, keep web pages and forms current,
- Develops and monitors various instructional budgets ; processes and tracks expenditures and transfers; reviews budget tracking reports and resolves discrepancies; creates and updates budget spreadsheets
- Initiates and monitors the full and part-time faculty evaluation process
- Serves as the VP's administrative assistant, scheduling appointments and maintaining the calendar; receiving, sorting, and distributing mail; typing and word processing reports and memos; coordinating mailings; screening and handling calls; screening and handling students/faculty/administrators/staff/visitors
- Explains policies and procedures and relays information as appropriate
- Prepares updated information for the college catalog based on curriculum changes
- Establishes and maintains faculty handbook
- Establishes and maintains a variety of official and topical files,records, and documents of a confidential nature
- Schedules facilities for off-campus classes
- Creates and maintains forms required by college policies and regulations
- Collects and tracks syllabi received from all faculty
- Schedule and prepare the Associate Faculty Flex events
- Enters data into and maintains databases and spreadsheets
- Performs a variety of administrative, technical and secretarial functions
- Organize and lead the Community Education program
- May direct the work of short-term employees and student employees
- Maintain effective and collegial relationships with staff, faculty, and administrators
- Performs related duties as assigned

Salary Range $4,939 - 6,260 / Monthly
